Indicative draft - always check the articles of association before sending
This is a draft. Notice period, maximum number of proxies, and remote participation rules are matters that each set of articles of association regulates differently: always verify them before sending this notice to members. For official information: RUNTS portal.

Frequently asked questions
Must I specify a second notice?
Yes, if your association's articles of association provide for it (it's the most common practice): it serves in case the first notice does not reach the constitutive quorum. Fill it in even if you think it won't be needed: it's the notice, not the meeting, that needs it.
Does the tool set the maximum number of proxies?
No: it's set by your association's articles of association. The tool reports in the document the number you enter - always verify it in the articles of association before sending the notice.
Can I convene a meeting only by videoconference?
Art. 24 c. 4 Legislative Decree 117/2017 admits taking part by means of telecommunications and electronic voting, unless the founding act or the statute expressly forbids them and provided it is possible to verify the identity of those who take part and vote. Read your Statute before choosing the method "entirely by videoconference".
What is the sample proxy form?
It's a form ready to be detached at the bottom of the notice, which allows a member unable to attend to delegate another member to represent them and vote on their behalf, within the limits provided by the articles of association.
Is the generated document in DOCX or PDF?
In DOCX, editable: you can refine the formatting before printing or sending it to members, just like with the StatutoAPS tool.
Are the data I enter saved anywhere?
No: everything stays in your browser. The document is built and downloaded locally, without any calls to our servers.
